Summary

A care home group in the North East of England decided to replace their paper based care delivery recording system with software. The key requirements were to allow staff in each of the homes to record care delivery, with Management at the head office being able to obtain an overall view of the system.

CTL UltraCare - the solution

As the CTL Care Management Support System (UltraCare) is so easy to operate, it wasn’t long before the staff were proficient in its use and benefiting from both the information available and the improved efficiency and accuracy of care records.

The easy navigation provides access to data entry and retrieval, requires minimal training and presents the user with clear and concise information.

The homes provide a mixture of care for respite, residential and daycare users in the mental health sector, and it's important that the standards monitored by CSCI are at the forefront of the care delivery.

Staff Support

The system provides password protected content management and each member of staff (carer) has their own user account for the system, which subject to their user privileges enables information to be created and displayed in several ways which support carers being able to view, add and edit records when using UltraCare and proved invaluable to the carers who work shifts.

Configurable levels of access provide control over sensitive information. The ability to create and edit data is placed firmly in the hands of authorised users.

Carers use the system to:

  • Input data on a daily basis
  • Perform monthly evaluations
  • View records in order to administer the appropriate care

Carers record additional information such as:

Outside agency visits

  • GP – General Practitioner
  • DN – District Nurse
  • Social Workers involved in collaborative care
  • CPN – Community Psychiatric Nurse

Outside services visits

  • Chiropodist
  • Hairdresser

Managers are able to perform

  • Management audit of care delivery
  • Monthly evaluation audit

Residents (care users)

Using UltraCare a personal portfolio was created for each care user providing carers with  the ability to

  • Edit, View and Change a Care User’s status within the care system
  • Create New, Edit and View Existing Assessment
  • View assessment reports
  • Create care plans

Outside agencies

UltraCare enabled Good Practice care delivery. CSCI inspectors have used the system during their visit to establish the type, accuracy and conformance with requirements of records that are being maintained.

The process is that they will pick 2 to 4 residents at random and view

  • Daily statements
  • Care plans
  • Assessments (pre-admission, behaviour rating scale through to wound treatment charts etc)
  • Monthly valuations
  • Cross reference any entries in the accident book against the corresponding daily statement.

Reports

UltraCare can produce a printable care report, per resident, and this has proved invaluable when a home has been required to provide details of care delivery for an individual for a given period. This is now simply a matter of selecting a resident’s name, a from and until date, and the report can be produced and printed with a mouseclick. No more photocopying hundreds of pages is needed.
